A COUPLE OF NOTES BEFORE USING THESE INSTRUCTIONS:
A. Although we provide the necessary configuration settings, your best option for help is the provider of your specific phone, computer, software etc. (Apple, Verizon, AT&T, Microsoft...). We do not have knowledge of all devices and programs.
B. When setting up some devices, you must configure the outgoing server & port BEFORE the incoming.
C. We now provide free, basic SSL security certificates. If you get a security certificate warning upon first connecting, click Yes to continue using the server. You MUST, set the Security Type to "SSL/TLS (Accept all certificates)" not "SSL". This will not be required on new/updated email accounts after your site's certificate updates.
Simple automatic setup method (requires that you know your email password):
Add your email account using your email program's auto-setup wizard. Outlook (Thunderbird and other email clients) will automatically detect the correct secure IMAP configuration.
If you have existing account that stopped sending emails, merely delete your email account and add it again using auto-setup or use the step-by-step instructions below.
NOTE: If you currently use POP3 instead of IMAP, you will need to drag all of your emails and folders from the old POP3 inbox to the new IMAP inbox. All new emails will go to the new IMAP account only. IMAP has the advantage of storing emails on the server so you can access it from multiple devices (phone, computer, tablet etc.) and online webmail, however, it does use more disk space.
Step-by-step instructions to change existing Outlook 2010 email accounts (Other programs will vary - See manual settings below):
1. Click the File tab.
2. Click the Account Settings icon.
3. Click Account Settings.
4. Click the desired account then click on Change (or just double-click the desired account).
5. Under Server Information, remove "mail." from the Incoming mail server and Outgoing mail server (SMTP) boxes but leave the rest of it.
Example:
OLD: mail.somedomain.com
NEW: somedomain.com
6. Click the More Settings button.
7. Click the Advanced tab.
8. For both boxes labeled "Use the following type of encrypted connection", set them to SSL/TLS or Auto
9. Change the Incoming server (IMAP) to 993
10. Change the Outgoing server (SMTP) to 465
11. IMPORTANT: BEFORE clicking the OK button, confirm the Server Port Numbers are still 993 & 465 then click the OK button and both boxes still shows "SSL"!
12. Click the Next button.
13. Click the Finish button.
14. If needed, repeat the process for your other email addresses.
15. Click the Close button.
Manual configuration settings:
Incoming and outgoing mail servers are YourDomain.com not mail.YourDomain.com.
EXAMPLE:
Incoming: YOUR-DOMAIN.TLD
Outgoing: YOUR-DOMAIN.TLD
Where "YOUR-DOMAIN" is your domain name and "TLD" is it's Top Level Domain extension (com, net, org etc.).
For example, if your full domain name is hotrods.com, it would be "hotrods.com" without quotes.
Outgoing is IMAP port to 993 and Incoming is IMAP PORT 465. Both ports use SSL.
Incoming Mail Server(IMAP): YOUR-DOMAIN.TLD
Incoming Port (IMAP): 993
Outgoing Mail Server: YOUR-DOMAIN.TLD or use the server assigned by your Internet Service Provider
Outgoing Port (SMTP): 465
Encrypted connection type (Incoming & Outgoing): SSL/TLS or Auto
Account Name: youremailaccount@yourdomain.com (must be all lower-case).
Password: Is case-sensitive, no spaces allowed, 8 character minimum, should contain special characters, numbers and upper-case & lower case letters.
SPA (Secure Password Authentication) NOT required.
Outgoing Server Authentication Is NOT typically required. (Ask your ISP) NOTE: It IS required when using our Outgoing Server - In that case, use the same login name & password as your incoming.
WARNING NOTE: Some ISPs, such as Comcast, may require users to use their outbound mail servers for sending email. Contact your ISP if needed.
